Privacy Policy.
This policy explains how we handle your account, order, and payment information when you use Ordvel Mall.
Our Commitment to Privacy
Ordvel Mall uses Paystack to process payments and settle sellers directly, and maintains internal marketplace transaction records and account balances to keep orders, settlements, and refunds accurate. When you pay, receive funds, or request a payout, we process the information needed to keep transactions secure and traceable.
Information We Collect
We collect personal information such as your name, email, and address to facilitate transactions. For sellers, we require identity documentation (KYC) to maintain our "Verified Seller" status.
- Account Basics: Name, email, phone number, and delivery addresses.
- Identity Verification: Government IDs and selfie verification for sellers and high-tier buyers.
- Usage Data: Device info, IP addresses, and browsing patterns to detect fraud and optimize the UI.
Financial Data & Payments
To ensure secure and traceable transactions, Ordvel maintains a sophisticated ledger system.
Transaction Audit Trail
For every transaction, we store a complete record including amounts, transaction types (payment, refund, payout), and status. We also maintain Balance Snapshots (balance before and after) to ensure transparency and accountability.
Payment Provider Ethics
Ordvel integrates with Paystack for card and bank processing. We store provider reference IDs and authorization tokens, but Ordvel does NOT store raw card details (like card numbers or CVV). All sensitive payment data is handled securely by Paystack.
Ordvel Pay & Ledger Records
Ordvel Pay is Ordvel's internal ledger, not a custodial wallet. When a buyer pays for an order, Paystack processes the payment and settles the seller directly; Ordvel Pay keeps internal marketplace transaction records and account balances so the order, payment, and payout stay linked and auditable.
A seller's share of a sale is settled to them as soon as the buyer's payment is confirmed, not after delivery. Because Ordvel Mall controls fulfillment end-to-end, we don't need to hold seller funds while a package is in transit the way a peer-to-peer marketplace would. If a buyer is later refunded, the safeguard runs the other way: rather than reversing money the seller already has, we track the liability and deduct it from that seller's next settlement.
Seller Settlement Data
To pay a seller automatically, we ask for a bank account or Mobile Money number once, verify it, and keep only what's needed to reuse it not the full number itself. A bank account is verified by matching its registered name against your identity; a Mobile Money number is verified with a one-time SMS code sent to it. Once verified, we retain a masked reference (the last 4 digits, for you to recognize your own account) and a secure token issued by our payment processor, Paystack, that lets us route future payouts to it. The full account or phone number you entered is handled by Paystack at verification time and is not stored in Ordvel's own systems afterward.
Refund Data & Evidence
When you request a refund, we collect order references, item details, and supporting evidence (images or video). These images are stored securely and used solely for QA review and dispute resolution.
Refunds follow a strict state machine: PENDING → APPROVED → PROCESSED. We track every state change to ensure your funds are returned accurately to your payment method.
AML & KYC Compliance
In accordance with global financial standards and Ghanaian regulations, we collect and process specific identification data to prevent money laundering and terrorism financing.
- Biometric Data: For high-tier verification, we may process selfie data to match against your government-issued ID.
- Payout Destination Verification: Before a bank or Mobile Money account can receive automatic payouts, we confirm you actually control it by name-matching a bank account against your identity, or by a one-time SMS code for a Mobile Money number.
- Watchlist Screening: We cross-reference user data against international sanction lists and PEP (Politically Exposed Persons) databases.
Fraud & Risk Monitoring
To protect your assets, Ordvel utilizes real-time fraud detection systems that analyze metadata and behavioral patterns.
Metadata Analysis
We analyze IP addresses, device fingerprints, and geolocation data during sensitive actions (payouts, transfers, password changes) to detect account takeover attempts.
Balance Integrity
Our system performs Balance Snapshots before and after every transaction. This ensures that any technical anomaly or attempted balance manipulation is instantly flagged for investigation.
Security & Data Retention
We retain financial and transaction data as long as your account is active or as required by Ghanaian tax and legal audit obligations. All communications with payment providers are encrypted, and sensitive records are protected by strict access controls and multi-factor authentication (MFA).
Your Legal Rights
Under the Ghana Data Protection Act, 2012 (Act 843), you have the right to access your transaction history, request corrections to your personal data, or request account deletion (subject to pending financial obligations or legal holds).
